Executive Assistant

We are currently recruiting a Permanent Executive Assistant to join our client in Belfast

  • Permanent position
  • 21 hour per week (may include occasional evenings and weekends)
  • Salary: £ 25,409 pro rata

The successful candidate will provide personal assistance to the CEO and secretarial support to Board of Directors, ensuring that planning and administrative systems are in place and maintained efficiently and effectively.

Key responsibilities include:

• Provide administrative support to the CEO in managing their diary, the organisation of

meetings and the maintenance of confidential documents and files.

• Provide support to the CEO in the prioritisation of their workload and responding

appropriately and filtering requests on their behalf.

• Maintain effective filling and data storage ensuring the needs of the CEO are met.

• Provide full personal assistant support by dealing with all correspondence and calls,

drafting routine letters to a high standard, minute meetings, taking messages and other

administrative tasks as required to support the Chief Executive.

• Provide administrative and secretarial support to the Board of Directors Chair, Board

members and the Company Secretary, including the organisation of meetings,

preparation of agendas, minutes and papers. Liaising with Board, SMT and Managers as

required.

• Responsible for the administration of and attend all Board of Directors and Board

Committee meetings.

• To service meetings of the Senior Management Team by drafting and collating papers

and reports, preparing agendas, taking minutes and following up on actions points.

• To plan and manage key organisational events such as; AGM, Staff Events, Strategy days,

Staff meetings and others as required.

• Any other duties relevant to the needs of the organisation and as directed.

Essential Criteria:

• Business Administration Qualification or equivalent with 2 years’

experience of providing high-quality EA administrative support at

Chief Executive/Senior Management level

OR

• 3 years’ experience of providing high-quality EA administrative

support at Chief Executive/Senior Management level

• Experience of working closely with a Board of Directors ESSENTIAL SHORTLISTING

• Exceptional organisation skills, to include diary management and event planning

• Excellent knowledge of Microsoft Office packages

• Experience with minute taking and fast, accurate type speed including being able to sum up complex discussions concisely
